CALIBRE Systems, Inc., an employee-owned Management Consulting and Digital Transformation company, is seeking an Automotive Business Support Specialist to work full-time in Ridgeville, SC.

 

The Automotive Business Support Specialist is responsible for supporting the delivery of technical recruiting and training services for a major Original Equipment Manufacturer (OEM) within the USA.  They are responsible delivery of the daily administrative support functions of the CALIBRE project team, the OEM client, and their dealership partners in multiple regions throughout the USA. The Automotive Business Support Specialist serves as an administrative liaison between the technical recruiting and training staff, the OEM, and their dealership partners.   They provide direct support to military Veterans enrolled in the OEM’s Department of Labor and VA GI Bill® approved Registered Apprenticeship Program as a primary liaison with the government for the processing of GI Bill® benefits applications and reports.

 

They also provide general administrative support to the project team, and are responsible for the activities listed below under the guidance and direction of CALIBRE’s Project Manager, and the Director for Industry Management Services:

 

  • Provide daily administrative, budgetary and human resources support to the automotive technical recruiting and training staff:
    • Provide direct administrative support to a team of Volvo automotive technical instructors and technical recruiters;
    • Track and submit project purchase requests;
    • Track and submit client invoices for approval and payment;
    • Assist the Project Manager with preparing and maintaining administrative records, budgetary estimates, and project status reports;
    • Prepare and transmit Volvo Car communications to dealers regarding the status of training, trainee assessments, and trainee administration (e.g., lodging, meals, transportation, student requirements, etc.)
    • Assess weekly attendance numbers for the Volvo Training Center(s) and communicate with the food vendor to insure proper delivery of food services;
    • Coordinate with CALIBRE Corporate Staff for support in the form of additional administrative and graphics; shipping and receiving; promotional items ordering; storage and accountability; contracts and procurement, payroll and accounting support
  • Manage Volvo Company’s Volvo Redware LMT enrollments, data, and reporting:
    • Track dealership enrollment of hired Veterans into Volvo Redware LMT;
    • Provide enrollment statistics to the PM weekly;
    • Track completion mandatory eLearning via Volvo Redware LMT to ensure students have completed prerequisite training prior to attending instructor led training;
    • Develop and maintain ad hoc Volvo Redware LMT based reports in support of the Project Manager.
  • Manage exceptions:
    • Track training cancellations and the filling of any empty seats;
    • Identify alternate course dates to support resolution of any conflicts.
  • Perform the duties of GI BILL® Certifying Official:
    • Maintain direct communications with the State Approving Agency (SAA) as a Volvo Car Technician Careers Program primary liaison for Veterans training and education;
    • Assist Veterans participating in the Volvo Cars Registered Apprenticeship with completing their applications for GI BILL® benefits (submission of VA Form 22-1990);
    • In coordination with the participating Volvo Retailer, prepare and submit VA Form 22-6553d-1 (MONTHLY CERTIFICATION OF ON-THE-JOB AND APPRENTICESHIP TRAINING) for each Veteran participating in the Registered Apprenticeship;
    • Gather PDF copies of each participating Veteran’s monthly pay stub from the appropriate dealership to support the VA Form 22-6553d-1;
    • Maintain all VA and DOL required supporting documents in the Project Repository; and
    • Complete any required government provided training associated with the responsibilities of the Certifying Official.

  • Ability to provide student advice and counseling on Veterans benefits
  • Ability to prepare internal and external education and training reports
  • Ability to prepare presentations and supporting materials
  • Ability to work with Volvo Retailer Management Teams, consultants and sub-contractors
  • Must have a clean driving record (no moving violations in the past 2 years & no DUI/DWI)

Education Requirement:

  • Bachelor's Degree Required (BA/BS)

(Other education, commensurate experience and demonstrated ability of individual may be substituted.)

 

Required Experience:

  • U.S. Citizen
  • Two or more years of administrative support experience (preferably in an automotive technical training environment)
  • Experience working with Redware Learning Management Systems (LMT)
  • Experience processing purchase requests and invoicing with vendors
  • Strong administrative technical and analytical skills
  • Strong verbal and written communication skills
  • For military Veteran applicants, must be honorably discharged

 

Desired Experience:

  • Automotive dealership administrative or similar customer service experience
  • Experience submitting and / or processing GI BILL® related forms and communications
  • Two or more years of luxury and performance Original Equipment Manufacturer (OEM)
